The Maritime and Coastguard Agency implements the government’s maritime safety policy in the UK and works to prevent the loss of life on the coast and at sea. This role sits within HM Coastguard’s Business Support Unit in Aberdeen, providing administrative staff support to HMCG and consistent business support and estates services across different business areas.

  • To be successful in this role you will need to have the following experience:
  • Experience with IT including Microsoft Word and Excel - demonstratable experience with a range of administrative software applications
  • Experience of working to deadlines - Ability to work under pressure, deliver to tight/strict deadlines whilst working flexibly on concurrent tasks
  • The ability to communicate with staff at various levels - confident ability to communicate with staff at various levels (written and verbal)
  • A basic understanding of invoice processing / finance - willingness to learn if no previous experience.

  • Full time roles consist of 37 hours per week. This role is part of a job share arrangement and there is a business requirement for the successful candidate to be able to work 17 hours per week.
  • This role is not suitable for hybrid working and will require the successful candidate to work solely from their designated workplace (one of the locations cited in the advert) or, when required for business reasons, from other offices/work locations/visiting stakeholders.
  • Occasional travel to other offices will be required, which may involve overnight stays.

Job description

As Business Support Officer, you will provide dedicated administrative support nationally and across HM Coastguard, helping to ensure best practice and consistency by working closely with colleagues across MCA and HQ HMCG.

Your responsibilities will include, but aren’t limited to:

  • Actively engage with Business Support Managers, the Business Support Lead, the Head of the Business Unit, team colleagues, HQ Estates and HMCG HQ colleagues to help deliver seamless administrative support.
  • Process Coastguard Volunteers personnel data and approve Coastguard Volunteers’ remuneration claims accurately and in line with payroll deadlines.
  • Support Coastguard Volunteers in the claims process, including helping to resolve rejected claims and promoting best practice and consistency across Coastguard Divisions.
  • Provide a procurement service, ensuring invoices are entered into the shared services system accurately and timeously, in line with Finance and Governance guidance.
  • Deliver administrative support on reactive estates matters, working collaboratively with the facilities management provider to escalate concerns and work towards solutions.
  • Assist with the delivery of facilities management services for MCA staff and tenants within Marine House, Aberdeen.
  • Deliver excellent customer service to internal and external customers and HMCG colleagues, whether face to face, by phone or in writing.
